Frequently asked questions

Answers for teams and submitters

Quick explanations for the parts of PasaForm people ask about most often.

Privacy is not optional

Every published form should explain why information is collected, who will review it, how long it may be kept, and who to contact for privacy requests. PasaForm gives each form a configurable privacy notice and consent checkbox.
Who can see form submissions?
Workspace members with access to the workspace can view submissions according to their role. Owners, admins, editors, and viewers can view submissions. Access is scoped to the workspace, so users from another workspace cannot see them unless they are added there too.
What does PasaForm collect when someone submits a public form?
PasaForm stores the answers the submitter provides, uploaded files when a form includes file fields, privacy consent status when enabled, submission time, IP address, user agent, and location fields such as country, state, or city when those are provided by the server or proxy headers.
Does PasaForm use browser GPS location?
No. PasaForm does not ask the browser for GPS permission. Location fields are based on request infrastructure headers when available, so they are approximate and may be missing or wrong.
Can I change the privacy notice on a form?
Yes. Open the form, go to the Privacy tab, and edit the section title, privacy notice, terms, and consent checkbox label. Review this before publishing or sharing a public link.
Are uploaded files public?
Uploaded files are tied to submissions and are downloaded through authenticated workspace routes. Raw storage paths are not shown to public users. Only upload file types and sizes allowed by the workspace deployment are accepted.
What can each workspace role do?
OWNER has full workspace access. ADMIN can manage users and forms but cannot delete the workspace. EDITOR can create and edit forms, and can delete only forms they created. VIEWER can view forms and submissions.
Can I export submissions?
Yes. Open a form, go to Submissions, choose an export format, and download the filtered or visible submission data.
Can deleted forms or workspaces be restored?
Destructive actions are intended to be permanent and require a styled confirmation dialog. Treat delete actions carefully and keep external backups if your operations require recovery.
Where do I start?
Start with the How to guide, then review the privacy overview before publishing forms.
